Workflow Tab

The Workflow tab, accessible from the Workbench, is a dashboard that keeps track of prescriptions as they move through the various stages of the filling process. With the Workflow dashboard, you can monitor and manage waiting prescriptions within each workflow status to ensure they are ready for pick-up when the patient arrives or delivery; this promotes an efficient and seamless workflow within the pharmacy.

When selecting some of the workflow status rows (e.g. Waiting for Data Entry, Pending, Waiting for Packaging), a workflow work queue window opens. To learn more about workflow queue windows, see Workflow Work Queue Windows.

Note: The Workflow Tab image above is an example only and your Workflow tab may display differently depending on what you have defined in your pharmacy's Workflow Preferences settings. For more information, see Workflow Scenarios below.

The Workbench Workflow tab is only visible if you have turned on the preference in the Workflow Preferences (Workflow Status tab).

Workflow Scenarios

The workflow statuses your pharmacy sees within the Workflow tab are based on the settings you have configured in Workflow Preferences.

Review the following scenarios below to see what Workflow Statuses will be visible based on the settings you have configured in Workflow Preferences.

Note: If the Workflow checkbox is not selected in Workflow Preferences, the Workflow tab is not visible in PharmaClik Rx.

Workflow Statuses – Descriptions

Workflow Status Description
To Do

Displays all prescriptions placed automatically on the To Do tab (Workbench > Prescriptions) and groups them by wait status. Prescriptions automatically sent to the To Do tab are usually from AutoFill, IVR and diem® premium care app.

If the Waiting for Data Entry checkbox is not selected in Workflow Preferences, all prescriptions with incomplete prescription information are sent to the To Do tab (after selecting the To Do button in the New Prescription window).

Data Entry If the Waiting for Data Entry checkbox is selected in Workflow Preferences, all prescriptions with incomplete prescription information move into the Data Entry workflow status (after selecting the Move to Entry button in the New Prescription window) and groups them by wait status.
Pending Displays all prescriptions in the Workbench Pending tab that have been processed, but not yet completed and groups them by wait status.
Packaging

Displays all prescriptions that have been filled, have a Completed status and now require a scan verify to confirm that the user selects the correct stock bottle. Waiting for packaging prescriptions are grouped by wait status.

Clicking the Packaging row opens the Prescription - Waiting for Packaging work queue window.

Validation

Prescriptions move into the Validation workflow status after the Print Vial button is selected in Rx Detail (for users using thermal printers).

Clicking the Validation row opens the Technical Validation tab in Prescription e-Verify where prescription information must be validated by the pharmacist or registered pharmacy technician on duty.

Review

Prescriptions move into the Review workflow status once technical validation is complete by selecting the Complete button in the Prescription e-Verify module within Patient Centre.

Clicking the Review workflow status opens the Clinical Review tab in Prescription e-Verify where the pharmacist provides final sign-off for the prescription by selecting the Sign Rx button.

Pickup (POS Integration Only)

When PharmaClik Rx is integrated with POS, prescriptions with a Complete status are automatically assigned the Pickup workflow status.

These prescriptions remain in the Pickup workflow status row and are carried over to the next day until they are scanned through POS at the till.

Clicking the Pickup workflow status opens the Prescription - Waiting for Pickup work queue window.

Delivery (POS Integration Only)

Completed prescriptions that have been flagged for Delivery in the main tab of Rx Detail are automatically assigned 'Delivery' when PharmaClik Rx is integrated with POS. These prescriptions remain 'Delivery' and are carried over to the next day’s Completed tab until they are scanned through POS at the till. This gives a running total of all prescriptions that are currently waiting to be delivered.

Picked Up (POS Integration Only)

Prescriptions move into the Picked Up workflow status once they are scanned through the POS. Picked Up prescriptions remain in the Completed tab for the date they were picked up, providing a reflection of the number of prescriptions that have been picked up each day. To ensure workflow is correctly assigned to prescriptions, all prescriptions must be scanned through POS, including those with Patient Pays $0.00.

Clicking the Picked Up workflow status opens the Prescription - Picked Up work queue window.
